Accounting/Job Cost Features

Now, let us tell you about the features of DataTrac, our multi-user Linux Construction Job Cost Accounting package, which consists of over two thousand individual programs. DataTrac was developed over a period of more than 20 years as we worked closely with many of Middle Tennessee's most successful construction companies.

Job Cost
Allows user-defined cost codes, tracks original estimates, change orders, committed cost, actual cost and anticipated final cost, provides percentages of completion and variances, automatically calculates labor overhead, internal controls keep the Job Cost system in balance with your financial statements, produces over 50 reports including: Job Summary, Job History, Surety/Bonding, Profit Projections, Contract Analysis, Business Tax Reports by Job County, Project Manager Reports, Job Recaps, Activity by State, etc.

Accounts Payable
Automates the process of selecting invoices for payment and writing checks, checks for duplicate invoice entry and overpayment of a subcontract or a purchase order, interfaces tightly with Subcontract and Purchase Order systems, prints 1099's, allows user to select invoices for payment several ways (by voucher number, by range of voucher numbers, by due date, by vendor, by job), produces over 40 reports including: Aged Trial Balance, Vendor History, Subcontract History, Invoice List, Check Register, Sales Tax on Out-of-State Purchases, A/P Journal, Purchase Order Reconciliation, etc.

Accounts Receivable
Tracks A/R and Retainage Receivable, allows finance charges, miscellaneous cash receipts, credits to Job Cost for items paid for by owner, has customer note-taking capability, produces over 25 reports including: Aged Trial Balance, Statements by Customer, Statements by Job, Revenue by Job County, Customer Account Status, etc.

General Ledger
Allow entries to both prior and future periods, recurring entries, automatic reversing entries, user-defined financial statements, produces over 25 reports including: Balance Sheet, Income Statement, Cash Flow Statement, Audit Reports, etc.

Subcontract Control
Tracks contract amounts, change orders, billings, retainage, deductions for workers compensation, backcharges, insurance expiration dates, reports include: Subcontractor List, Subcontractor History, Insurance Expiration, Subcontracts by Job County, Subcontractor Name and Address List

Purchase Orders
Ties to Job Cost and Accounts Payable, warns about possible invoice entry errors, purchase order coding is picked up automatically when an A/P invoice is entered, updates the committed cost on jobs automatically, reports include: Purchase Order Journal, Purchase Order Status, etc.

Bank Reconciliation
Allows automatic reconciliations, electronic bank statement download, ties the bank statement back to the General Ledger, produces several reports including: Bank Statement Checks, Computer Checks, Deposits, Outstanding Check Report, Check Book Report (simulates a manually-kept check book register), etc.

Fixed Assets
Tracks book values for both book and IRS purposes, posts depreciation entries to the G/L, figures Investment Tax Credits, produces several reports including: Fixed Assets by Location, Fixed Assets by Class, Depreciation Journal, etc.

Inventory
Tracks disbursements to jobs, values the inventory, produces several reports including: Valued Inventory, Transaction Edit List, Physical Inventory Edit List, Physical Inventory Variance Report, Obsolete Inventory, etc.

Tool and Equipment Inventory
Tracks tools and equipment by employee and/or job, produces several reports including: Tool Tracking by Tool, Tool Tracking by Job, Tool Tracking by Employee, Transaction Edit List, etc.

Electronic Rolodex
Allows each user to access a company-wide alphabetic electronic rolodex, allows classifications of entries (vendor, subcontractor, customer, etc.), has built-in note-taking capability, fast and easy to use

Loan Calculations and Amortizations
Performs side-by-side loan comparisons, allows "what-if" scenarios (what if we pay the loan off more quickly or make a larger down payment), prints amortization schedules, figures the principal and interest paid each year

The features listed above are just the tip of the iceberg. DataTrac has many other features which are simply too numerous to mention. DataTrac has advanced, built-in error trapping to prevent many of the errors that other systems will allow. Also, DataTrac has reports to make sure that your General Ledger and it subsystems (Accounts Payable, Accounts Receivable, etc.) are in balance at the end of each month.
